Engagement Insights Guide (deprecated)

Engagement Insights is a pre-packed set of Act-On data that you can export and bring into another tool for analysis.

Note: Engagement Insights is a deprecated feature and is not available for new customers. This guide is available for clients who have an existing setup and need support.

First Time Setup for Google Sheets

Copy the dashboard into your Google account

  1. In the top navigation of this sheet, select File and then Make a Copy
  2. Save the report in your Google Drive

Configure Google Drive

Open Google Drive, and create a new folder called Engagement Insights. This folder will hold the files you're about to create.

Add Google Drive as an Engagement Insights Destination

  1. Open Data Studio: Act-On > Reports > Data Studio
  2. Click Destinations
  3. Under Connection, click +Add
  4. Select Google Drive from the dropdown menu
  5. Enter a display name for this connection, such as "Engagement Insights Dashboard"
  6. Click Accept
  7. Click the blue link to request access to a Google Drive account
  8. Choose the Google account you configured earlier, and click Allow
  9. Click Save Changes to Server

First time setup for Excel

If you have signed up for Engagement Insights using Excel, a member of our Professional Services team will be in touch with you to discuss setup.

Note: Once you receive the Excel file, make sure to click Enable editing to exit Protected View. The file will not show the correct data until this is done.

 

Set Up Data Studio Exports

Set up an email data export

  1. Click Exports
  2. Nameyour Export "Email Data"
  3. Leave Master Account only selected and click Next

Create a data set

  1. From the top drop-down, choose Email Messages
    • Make sure that only Sent, Opened, and Clicked are selected
  2. Select Enable message behavior data correlation
  3. Select Inject effective opens
  4. Select Ignore registered internal IPs 
  5. Click Next

Set up grouping

  1. Select Aggregated rolled up data grouped by: Action Month, Action Week, and Message
  2. Select Next

Choose fields

  1. Scroll down to Available Fields
  2. Drag Message Title from the Available Fields table to the first column of the Selected Fields - order is important
  3. Drag Subject from the Available Fields table to the second column of the Selected Fields - order is important
  4. Make sure only the following fields are now shown and that they are in this specific order: Message Title, Subject, Action Month, Action Action Week, Sent, Opened, Clicked
  5. Click Generate as unique metrics
  6. Click Next

Set up filters

Set any desired filters, or skip filters for reporting on all messages. Click Next once you're done with filters.

Set your schedule

Leave the Export Schedule as on-demand, then click Next.

Set up delivery

  1. Select the Engagement Insights Dashboard as the Destination
  2. Name the subfolder Engagement Insights - do not append date
  3. Name the file Email Data
  4. Choose format as CSV
  5. Click Finish

Set up a Form Export

Name your Export "Form Data".

Create a data set

  1. In the drop-down box select Forms
  2. Under Limit Actions, check Viewed, Inserted, and Updated
  3. Check Ignore registered internal IPs
  4. Click Next

Set up grouping

  1. Select Aggregated rolled up data
  2. Select the fields Action Month, Action Week, and Form
  3. Click Next

Choose fields

  1. Click Next
  2. Drag Form Title from the Available Fields table to the first column of the Selected Fields table
  3. Drag Submitted from the Available Fields table to the fourth column of the Selected Fields table
  4. Make sure only the following fields are now shown: Form Title, Action Month,  Action Week, Submitted, Viewed
  5. Click Generate as unique metrics
  6. Click Next

Set up filters

Set any desired filters, or skip filters for reporting on all messages. Click Next once you're done with filters.

Set your Schedule

  1. Select On Demand
  2. Click Next

Set up Delivery

  1. In Destination select Engagement Insights Dashboard
  2. In Subfolder type Engagement Insights
    Important: Spelling and case must be correct. Do not Append Date.
  3. In File Name type Form Data.

  4. In Format select CSV (Comma Separated Values)
  5. Click Finish

Set up a Landing Page Export

Name your Export "Landing Page Data".

Create a Data Set

  1. In the drop-down box select Landing Pages
  2. Under Limit Actions check Landing Page View and Clicked
  3. Check Ignore registered internal IPs
  4. Click Next

Set up Grouping

  1. Select Aggregated rolled up data
  2. Select Action Month, Action Week, and Landing Page
  3. Click Next

Choose fields

  1. Drag the Landing Page Title to the first column of the selected fields table and in this exact order (remove any extra fields): Landing Page Title, Action Month, Action Week, Clicked, Viewed
  2. Click Next
  3. Click Generate as unique metrics
  4. Click Next.

Set up Filters

Set any desired filters, or skip filters for reporting on all messages. Click Next once you're done with filters.

Set your Schedule

  1. Select On Demand
  2. Click Next

Set up Delivery

Set up a media file export

Name your Export "Media File Data".

Create a Data Set

  1. In the drop-down box select Media
  2. Under Limit Actions check Downloaded and Clicked
  3. Check Ignore registered internal IPs
  4. Click Next

Set up grouping

  1. Select Aggregated rolled-up data
  2. Select Action Month, Action Week, and Document
  3. Click Next

Choose fields

  1. Drag Document Name from the Available Fields table to the first column of the Selected Fields table and in this exact order (remove any extra fields): Document Name, Action Month, Action Week, Clicked, Downloaded
  2. Click Generate as unique metrics
  3. Click Next

Set up filters

Set any desired filters, or skip filters for reporting on all messages. Click Next once you're done with filters.

Set your schedule

  1. Select On Demand
  2. Click Next

Set up delivery

  1. In Destination select Engagement Insights Dashboard
  2. In Subfolder type Engagement Insights

  5. Click Finish

Set up a package export

  1. Select Packages from the left-side navigation menu
  2. Click HERE to create your first package
  3. Name your package "Engagement Insights Package"
  4. Description: This is the master data transfer for Act-On Engagement Insights reporting
  5. Under General, Exports: Click select
  6. Under "Available Exports" double click Email Data, Form Data, Landing Page Data, Media File Data
  7. Click Next
  8. Under Combine, Click Next
  9. Under Schedule, Click Next
  10. Under Delivery, Set "Destination" to Engagement Insights Dashboard
  11. Set Subfolder to Engagement Insights
  12. Set File name to Engagement Insights
  13. Click Finish

Continued Use

Export data from Engagement Insights

  1. Navigate to Act-On > Engagement Insights > Exports
  2. For each export, select Generate from the left-hand Action column
  3. For each export, choose the date range from the pop-up window you want to see in your dashboard (select a time range of at least three months to see trends over time)
  4. You will see each export completed in the "Run Logs" history.

Sync data to your Google dashboard

  1. Navigate to the "Dashboards" tab of this document
  2. In the top navigation select "Import Data" and then click the dropdown "Go"
  3. Refresh the browser page. (Note, this prevents your browser settings from caching old data)
