Today Act-On has introduced a new synchronization setting offers the ability to automatically push updated records to your connected CRM in near real time. This new Always Push feature is the first to rely on a new synchronization system that is the future of all CRM data synchronization in Act-On going forward. As a result, you will see future enhancements to push segment members, perform a more frequent Pull of updates from the CRM and expand it to support our other native CRM integrations. This transition is designed to deliver the most timely data to you and your sales team so you can take action whenever the time is right to act on the added or updated lead or contact, including ‘right now.’
In this article, I will answer some of frequently asked questions and provide some direction on using the new Always Push Trigger feature on your lists. The great news for you is that it’s super easy to do, so be sure to give it a try today!
Note: This new push option is only available to Salesforce connected accounts at this time but we will be expanding it to support other CRMs over time.
What is the Always Push Trigger?
Push Triggers are a new level of configuration available on marketing lists synced with your CRM. In addition to existing push field selection you can now determine how that push of record updates is triggered.
Always: each new and updated record will be pushed to the CRM as soon as the record is added or modified in the list.
Scheduled: push all added or updated records on the schedule set lower on the page in tandem with the record Pull operation.
How do I enable a list to use the Always Push Trigger?
- Identify the list you wish to configure the Always Push Trigger and click the menu button for that list. Select Import/Export. Select Salesforce.com Sync Setup to view the settings page as seen above.
- Ensure that you have selected what data to push including selecting the fields to push and then select the Always Push Trigger. You may choose to configure your pull settings as well.
- Ensure that you have set a Schedule so that the Pull occurs regularly and updated lead scores are pushed.
(See the FAQ below for details on lead score push behavior)
What lists can I use the Always Push Trigger with?
Any list that you currently have configured to sync with your CRM or you configure for the first time. Keep in mind that any new lists set to sync will require a full sync before the existing contents of the list will be added/updated in the CRM. This can be achieved by temporarily selecting the “Scheduled” Push trigger and clicking the “Run Now” button as seen in the screenshot above. Note that when the push trigger is set to Always, the “Run Now” button will only trigger the Pull from the CRM and the update to lead scores if that setting has been configured.
Can I use the Always Push feature with synced segments?
Not at this time. This is a planned enhancement.
How long does it take an added/updated record to show up in the CRM?
Somewhere between a few seconds and up to two minutes. If the add/update happens at just the right time, the change will be made in seconds whereas others may take up to two minutes.
When will the corresponding Pull occur of new data from the CRM?
The Pull of updated and new records from your CRM will continue to operate on the set Schedule for the list.
Will the Lead Score get pushed when records are updated?
When using the Always Push Trigger to send updates to the CRM, lead scores will not be pushed at the same time. If you have selected the option to push lead scores to the CRM, these scores will be updated in the CRM on the Schedule you have selected for Pull.
How does Always Push differ from the Forms setting to push records to my CRM?
Always Push differs in that it can push new and updated records regardless of how the records are added or updated: uploaded, manually added/edited, list maintenance program, form submission, automated program, etc. Forms can push new/updated records, have custom duplicate handling rules, add contacts to a Campaign dynamically, and can create a Note.
How does Always Push differ from the Create in CRM step in Automated Programs?
Always Push can only add or update Lead and Contact records in your CRM (according to your settings) whereas the Create in CRM step can create/update other record types. Of course, using the Create in CRM step requires that you have an additional or existing Automated Program set-up to perform the push. We expect the Always Push to be more efficient and provide faster performance.
