Subscription Manager

How do you guys use the Subscription Manager feature? If you work with multiple agencies, specifically ones that roll-up to a parent agency and has a shared/global opt-out list, how does this affect your approach?

Act-On's subscription management feature is very basic so for one of our clients we use a custom subscription management and then the API to push to the subscription management list. Our client has different levels of opting-out which is the main reason but also because you really cannot style the landing page to be consistent with your site. I think until they expand the capabilities as well as the styling we will have to continue doing it outside of Act-On.

What subscription manager product do you use?

We don't like the styling options for the subscription page, and also we're having trouble figuring out a subscription portal, so to speak. Right now we've figured out how to set up the manager, but cannot give customers a sign-up page that feeds right into the manager. We've created a form to gather that information, then used a list maintenance program to update the subscription information, and at that point, they can update their preferences as they'd like. However, since we can only cross check against the manager, and still have to select recipient lists (and that seems to not be working properly), we also have a list maintenance program that gets updates from the manager and updates our lists....

We're new to Act-On, have scoured the University for info, and contacted the help desk as well, with not a lot of success on simplifying our processes. Any tips are appreciated :)

So...my naive question regarding the subscription manager in Act-On: when someone unchecks only one or two subscription categories, does Act-On remove the people from only that list or are they removed from all lists unless I go into the subscription management and re-add them to certain lists? See screenshot below for how I am looking at setting things up.

    Heather,

I'm trying to accomplish something similar. From what I can tell about Subscription Manager is that the manager doesn't affect lists. It cross-references them. So you still have to choose your lists, as you normally would, and then you choose the category the message falls under. Act-On bumps up the people on your lists against your subscription manager and suppresses the people who have opted out of that category.

HOWEVER, they will get all categories until the first time they interact with the subscription manager when they click on opt-out. Otherwise they do not have anything to cross-check with. If someone is not on the subscription manager list, the email is sent out normally. If someone has updated their preferences, it will check the true/false values and suppress the people that opted out.

Also, while replying to Heather, I just figured out my part of my own problem too. I was over complicating some of it :) I was thinking oh my how do you keep track of the changes, what lists get cleaned up, what if I have multiple lists from various sources, but I'm not always using all of them at any given time etc. But moment of clarity here... Your lists are built however you normally built them. The categories are strictly for suppressing, not for list clean up.  Your source list remains the same. I think.

But then a question comes up for me. What if someone chooses a new category in the subscription manager that they had not signed up for previously? Where does that information get collected so that you can pull those contacts into a marketing list? My best guess guess is that if you want to capture the new opt-ins for new categories, what you can do is build a new marketing list  and setup a list management program that pulls contacts based on any category on the subscription manager  with a value of 'true.' At that point, you can select that list as one of the recipient groups, when you are creating emails, as usual. If they opt-out later, they'll be caught in the suppression path on the way out.

If anyone from the Act-On team can verify my understanding of how subscription manager works, that would be great :) i'm still trying to figure out how to handle the subscription manager when you work with multiple sub-agencies, and there is a global opt-out list that is shared among the main and the sub-agencies.

Hi Heather - if someone were to opt-out of the Used Equipment Newsletter, you do not need to modify anything on their contact record, they are only removed from that list. When you send an email, you will need to make sure you select the category it falls into so that if someone opts-out, they will not receive the message at all.
