Marketing Lists and Segments solve different problems. If you understand when to use a segment instead of creating another list, you can keep your database cleaner and make targeting easier.
Quick Reference (Advanced Users) - Click to Expand
- Marketing Lists are where contact records live.
- Segments are filtered subsets of a Marketing List used for targeting.
- Use segments to avoid duplicate lists for the same audience.
- Keep one primary list, then create segments for regions, roles, products, or engagement.
Marketing Lists vs Segments
A Marketing List is where contact records are stored. It holds contact data like email address, name, company, and any fields you use for targeting or reporting.
A Segment is a filtered subset of a Marketing List based on rules. Segments let you target a specific audience without creating and maintaining multiple lists that contain the same people.
When to use a Marketing List
Create a Marketing List when you need a stable audience that you plan to keep and reuse over time, such as:
- A master list that receives contacts from imports or syncs
- A reusable audience for recurring sends (newsletter, customers, partners)
- A list used as an entry source or destination for an automated program
If the main reason you are creating a new list is “I want a different group to send to,” that is usually a sign you should use a segment instead.
When to use a Segment
Use a segment when you want to target a subset of a Marketing List based on rules, such as:
- Location or region
- Job title, industry, or account type
- Opt-in status or subscription preferences
- Engagement and activity (opens, clicks, form submissions)
Segments are ideal for audiences that change frequently. You update the underlying list, and your segment targeting stays current.
A simple best-practice pattern
Use one primary list as the source of truth, and build segments for targeting. This reduces duplicates, lowers maintenance work, and makes it easier to understand which contacts you are sending to.
