How to Approve Registrations for your Zoom Webinar Campaign

If your Zoom Webinar is set up to require manual approval for registrations, you can approve or reject people directly from Act-On. This article walks through that workflow.

Who this is for

Marketers running a Zoom webinar that requires registration approval (set in Zoom), who want to approve or reject registrants without leaving Act-On.

Why this matters

Approving in Act-On triggers the Registration Accepted and Registration Rejected emails you have already configured, and keeps your Act-On activity history in sync with Zoom. You do not have to bounce between tools for each decision.

Approve or reject registrations

  1. Open your Webinar Campaign and click Manual Approval.
  2. Review the pending registrations.
    • Use the radio buttons to accept or reject each registrant individually.
    • Use the square checkbox at the top of a column to select everyone in that column at once.
  3. Click Save.

If you have the Registration Accepted and Registration Rejected messages enabled, saving triggers those emails to go out automatically.

Changing a decision after saving

Act-On only handles new pending registrations

The Manual Approval screen in Act-On only shows registrations that are still pending a decision. Once you have approved or rejected someone in Act-On, any further changes have to happen in Zoom.

To change a previous decision:

  1. Log in to Zoom and update the registration status there.
  2. Return to your Webinar Campaign in Act-On.
  3. Click Sync at the top right so Act-On picks up the change.

  • Save triggers Registration Accepted / Rejected emails (if enabled)
  • Already decided? Change it in Zoom, then click Sync in Act-On
