Access Your Act-On Data in SugarCRM

The Act-On package for SugarCRM lets your Sales users view Act-On behavior history for Leads and Contacts, access the Act-On Hot Prospects dashboard, send emails using custom templates to Leads and Contacts, and utilize Act-On email tracking.

Install the Act-On Package for SugarCRM 

If you already have the package but need to upgrade versions, uninstall it before proceeding.
  1. In SugarCRM, go to AdminDeveloper Tools > Module Loader.
  2. Find the existing Act-On package and click Uninstall > Commit.

To install the package:

  1. Download the Act-On Sugar package ZIP file. MacOS may unzip the file. To load the file within SugarCRM, you may need to re-compress the file before uploading.
    This file only works with SugarCRM v7.10 or later that supports the ExternalResourceClient v11 or later. For more information see this SugarCRM support page.
  2. In Act-On, go to Settings > Apps > API Access, then click Generate Key:
    If you do not see the 'Apps' button, please contact Support to have the 'OAuth' feature enabled.

  1. Copy the key into a Word/Google doc.
  2. Using your administrator account, sign in to SugarCRM.
  3. Go to AdminDeveloper Tools > Module Loader.
  4. In the Module Loader, click Choose File.
  5. Select the file you downloaded in step 1, for example acton-sugar-package-4.2.9.zip, and click Upload.
  6. Locate the Act-On Integrated Marketing Automation package below the Module upload tool and select Install > Commit:

  1. Go to Admin > System > Repair:

  1. Click Quick Repair and Rebuild. A 'done' message appears once completed:

  1. Go to Admin > System > Connectors:

  1. Click Set Connector Properties:

  1. Click the Act-On Integrator tab:

  1. Enter the (Global) URL linked to your Act-On Account in the first box.
    • The URL is https://ciXX.actonsoftware.com
    • Replace ciXX with the "ci" code found in your browser's address bar while logged into Act-On. For example:

  1. Paste the API key you copied from your Act-On account (in steps 3/4 above) into the second box labeled "API Key (Global)".
    If you intend to link multiple Act-On Accounts to your SugarCRM, follow the example steps provided in Connecting a Single SugarCRM Account with Multiple Act-On Accounts.
  2. Click Test Connector:

Testing the Connector

You may have to click Test Connector twice.

If testing fails with the IP address only, the result Illegal Remote Endpoint followed by an IP address is shown:

To resolve this:

  1. Copy the IP address shown.
  2. In Act-On, go to Settings Apps > API Access > Authorize IP:

  1. Paste the IP address making sure there are no extra spaces and click Submit:

  1. Return to SugarCRM and click Test Connector again.
    You should see a Test Successful message. If not, please check that the URL, API Key, and IP addresses are correct and test again. Click Save.

Enable Your Act-On Connectors

  1. Using your administrator account in SugarCRM, go to Admin > System > Connectors:

  1. Click Enable Connectors:

  1. Click the Act-On Integrator tab:

  1. Ensure that Contacts, Leads, and Targets are under Enabled. If not, move them to Enabled:

  2. Click Save.

Enable Act-On Dashlets

To enable the dashlets in SugarCRM:

  1. First, sign out of SugarCRM and close all browser sessions completely.
  2. Sign back into SugarCRM.
  3. In the left menu, click  Leads.
  4. Click on any individual lead record.
  5. In the upper right-hand corner, click  Open/Close Side Panel to open the right panel.
  6. Select or create a dashboard to hold your Act-On Dashlets
  7. Click the menu icon in the bottom right-hand corner:

  1. Click Add Dashlet.
  2. Select the Act-On Activity History dashlet from the available list.
  3. Choose the appropriate marketing behaviors you would like displayed, then Save:

  1. Repeat the above steps to add the Marketing Timeline dashlet.
  2. Give the Dashboard a name, such as Act-On Activity.
  3. In the left menu, click  Contacts.
  4. Repeat from step 4 to add the two dashlets to a Contact record.
  5. In the left menu, click  Home.
  6. Click  at the bottom right & click Add Dashlet.
  7. Select the Act-On Hot Prospects dashlet from the available list.
  8. Customize the options as shown below:

    • Max Records – Number of records displayed in the Hot Prospects Dashlet
    • Days of History – Number of days viewed of Act-On Activity History
    • Minimum Score – Minimum value of lead score to have one appear in the Hot Prospects dashlet
    • Include Email Sends – Include the Act-On lead score value for ‘was sent a message’ in the calculation
    • Include Email Opens – Includes the Act-On lead score value for ‘opened a message’
  1. Name your Dashboard and click Save.
