Message Reports for messages sent from Automated Programs can be found in a few different locations within Act-On.

The Automated Program Dashboard

The Program Dashboard is the most typical and direct manner by which to view automated program email messages reports.

    1. In Act-On, navigate to Automation > Automated Programs.
    2. Locate the Program you want to view and click on the Dashboard Icon.
    3. Click on “Email,” located in the menu at the top of the window. A list of all the emails sent or to be sent by the automated program will appear.
    4. Click on the name of the email whose report you seek to access to open the email.
    5. Click on the “Report” tab at the top of the email display.
    6. Refer to this guide on interpreting the report.

Viewing All Triggered Messages

Any Act-On Email sent via a form, automated program, or webinar will appear in the Triggered Messages section. You may need to visit Triggered Messages to view email message reports for email messages that were removed from an automated program or replaced by another message. To find these messages:

  1. In Act-On, navigate to Outbound > Other Messages > Triggered Messages.
  2. In the Triggered Messages display, click on “Programs” for a list of email messages in use by automated programs. The messages are grouped by Program Name.
  3. Click on the name of the email whose report you seek to access to open the email.
  4. Click on the “Report” tab at the top of the email display.
  5. Refer to this guide on interpreting the report.

Data Studio

Data Studio allows for the most comprehensive and flexible reporting as well as an export system to download reports locally or export them to other cloud services. To create a Data Studio Export:

  1. In Act-On, navigate to Reports > Data Studio.
  2. On the “Exports” screen, you will be prompted to “Click HERE to create your first Export.” Please do so.
  3. Under the “General” tab, give the export an appropriate name.
  4. Under the “Data Set” tab, make sure that “Email Messages” is selected from the drop-down menu. Select all actions to include in the report.
    1. You also can select specific Automated Programs as an inclusive filter. This will only include messages sent from specific programs in your export.
  5. Under the “Grouping” tab, select “Aggregated rolled up data grouped by (one or more fields):” and select all data points you seek to include in the report. Three that are recommended are “Action Day,” “Automated Program,” and “Message.”
  6. Under the “Fields” tab, add all available fields you wish to include in the export. Click on “Generate as unique metrics” to ensure that data is counted uniquely, e.g., if one contact opens the same email multiple times; the report will consider that a single open.
  7. Under the “Filters” tab, add whichever filters you desire. By default, none are added.
  8. Under the “Schedule” tab, schedule the export if you desire. If left on the default “On Demand” option, the export must be ran manually.
  9. Under the “Delivery” tab, choose the export method of the data.

FAQs and Troubleshooting

Why isn't my program message appearing under triggered program messages?

Messages that are in the triggered messages listing are only ones that are actively associated with an Automated Program in the account. There are a few common actions that lead to messages disappearing from this listing.

  1. If an email message was replaced in a program with a different message. This is because the old message is no longer "linked" to the automated program.
  2. If a program is deleted, the messages will no longer be associated with a program.

Fear not! These messages can still be found by looking in the 'Other Tab' in the triggered messages menu.
