The Sent Email Rollup and Best Performing Reports

The Sent Messages page has two reports that roll up data across multiple emails: Message Rollup, which exports an Excel file of every email sent to three or more recipients in a period, and Best Performing, which highlights your strongest messages by open or click rate. Both are useful for campaign reviews and for finding winning content to model future sends on.

Why this matters: Reviewing one Sent Message Report at a time makes it hard to see trends. The Rollup report gives you a single spreadsheet to sort and filter, and the Best Performing view tells you at a glance which recent messages earned the strongest engagement. Together they turn "how's our email doing?" from a guess into a quick answer.

  • Rollup: Outbound > Sent Messages > Rollup. Exports an Excel file for the selected period.

Try it like this: Go to Outbound > Sent Messages, click Rollup, and download the Excel export. Sort by Click Rate to find your strongest recent sends, then use the Best Performing view for a quick sanity check on the same list.

Generate the Message Rollup

The Rollup is an Excel file that combines Sent Message Report data for every email sent to three or more recipients during the period you select.

  1. Navigate to Outbound > Sent Messages.
  2. Click Rollup.
  3. Click OK on the confirmation popup to start the export.

View the Best Performing Report

This view surfaces your messages with the best open rate or click rate over a chosen period.

  1. Navigate to Outbound > Sent Messages.
  2. Click Best Performing in the left navigation column.
  3. Choose Best Open Rates or Best Click Rates.
  4. Optionally, set a minimum number of recipients and a date range.

Note: The Rollup includes only messages sent to three or more recipients. Small internal sends and one-off tests are excluded by design, which keeps the export focused on real campaigns.

Common pitfalls

  • Comparing a Best Performing result without a minimum recipient filter. A tiny send with a single open will score 100%. Set a recipient minimum that makes sense for your list sizes.
  • Treating the Rollup as real-time data. It's a snapshot at the time of export. Re-run it if you need current numbers.
  • Missing small but important sends in the Rollup. Anything under three recipients isn't included.
