Capture Cvent Event Registrations Using Incoming Webhooks

Add event registration data into Act-On enabling targeted and timely event follow-up and downstream segmentation and targeting.

Act-On

Create a Custom Touch Points Behaviors Incoming Webhook 

  1. Sign in to Act-On as an administrator.
  2. Go to Settings > Connectors > Custom Integrations > Incoming Webhooks > Create webhook:

  1. Add the minimum required information such as Webhook name and Description.

Add Webhook Verification

  1. Switch on Verification and select Token from the drop-down menu:

  1. Click Generate token and copy the token somewhere secure:

  1. Click Create and Skip the test.
  2. Return to the webhook from the listing page in Act-On by clicking Edit:

  1. Enable Content mapping and in Channel, choose Custom Touch Point Behaviors.
  2. Add the following mappings to map the payload fields from Cvent to Act-On. This article has details on the format of Cvent webhooks.

  1. Click Save changes and leave the test dialog open for now.
    Act-On’s incoming webhook must be tested before it can be enabled, so we will run a test to set the webhook to the Listening state.

Create a Webhook

  1. Sign in to Cvent using admin credentials.
  2. Navigate to Integrations > Push API Integrations:

  1. Click Create Integration:

  1. Add Basic Information for the integration and webhook. Select Token-based and enter the token generated earlier in Act-On.
  2. Save the webhook.

Add Event Integration

Click on the created webhook and add event integration. This step creates the subscription or the desired events. Choose invitee/guest registered.

  1. Navigate to Events from the home page.
  2. Click on the desired event.
  3. Choose Integrations from the left navigation and click Setup:

  1. Click Inactive Webhooks:

  1. Click Edit:

  1. Select the Yes option and choose the webhook created in the prior step from the Configuration drop-down menu. Ensure Attendees is selected under Synced Objects:

  1. Save.
  2. Select Validate from the Actions menu to ensure the setup is correct:

Send a Test Registration

  1. In Cvent, create a dummy event and ask your Cvent CSM to mark it as non-billable.
    • You can use the same event for all future webhooks. You simply need to change the webhook configuration options.
  2. Go into Attendees > Attendee list and click the Register Attendee button:

  1. In Act-On, in the test dialog, click Run test.
  2. In Cvent, register a test attendee.
  3. It takes a while for Act-On to pick up the test, but within a few minutes of receiving the confirmation email, you should see success in Act-On.

Create an Act-On Contacts Incoming Webhook

Repeat the same webhook creation steps in Act-On to create an incoming webhook in Act-On that will create a contact for each registration. 

This webhook is only compatible with Act-On Contacts.
