Act-On Multi-Factor Authentication - Set Up Guide for Admin Users

This article covers the steps to enable multi-factor authentication (MFA) for your Act-On users. To request MFA for your Act-On users, please follow these steps:

  1. Decide which Act-On users (if not all users) should have MFA enabled.
  2. Make a plan for communicating the upcoming MFA requirement to your Act-On users. Act-On does not send an email to users who have had MFA enabled.
  3. Contact Act-On support or your CSM and provide them with the following information:
    • Which users, if not all, should be enabled for MFA.
    • When should the users be enabled for MFA.
  4. Communicate the timing of the change to your end-users. Direct them to our MFA support article for more information.

After Act-On support has enabled MFA for your users, they will go through the initial MFA setup during their first sign-in. This process is described in the MFA support article.

Once your Act-On account has been configured to support MFA, any new users added to the account will automatically be enabled for MFA.

How to Communicate the MFA Requirement to Your Act-On Users

We have created an email template to communicate the MFA requirement to your Act-On users. Please customize it to fit your needs. Act-On does not inform users when MFA is enabled, so it’s important that you give your users this information ahead of the change. You’ll find the template below:

This message is to inform you about an important upcoming security enhancement to your Act-On account.

Starting on [date], you will be required to use multi-factor authentication (MFA) to sign in. MFA adds an extra layer of security to your account, helping to protect sensitive information by requiring a second verification step in addition to your password.

After this change, your Act-On sign-in process will be updated to support MFA. Upon your first sign-in after MFA is enabled, you will be prompted to go to the Act-On MFA sign-in page. There, you will enter your sign-in credentials and follow the prompts to scan a QR code using an authenticator app on your mobile device. This will generate a one-time password (OTP) that you will use along with your password to sign in. For all subsequent sign-ins, you will enter the current OTP from your authenticator app.

To ensure a smooth transition, please take a moment to review our comprehensive support article: MFA in Act-On. Before the MFA setup, please ensure you have an authenticator app installed on your mobile device, as you will need it to scan the QR code during your first sign-in.

Reset MFA

You, as an Act-On admin user, can reset MFA for your users by following the steps below:

  1. Sign in to Act-On & go to Settings > Users.
  2. Locate the user, open the menu, and click Reset MFA:

After the MFA reset, the user will be asked to set up their authentication app the same way they did on their first MFA sign-in.
