Act-On Marketing Platform for Microsoft Dynamics - Installation and User Registration Guide

Our integration with Microsoft Dynamics provides critical functions that allow your sales team to use Act-On directly in their MS Dynamics account. With this package, your users will have access to the following Act-On features.

If this is an upgrade to an existing installation of our managed solution, you may skip to the Installation steps below. To check which version you have installed refer please to this article.

Supported Language Packs

It is important that language packs are installed on the Dynamics instance before you install the Act-On solution. Our MS Dynamics solution supports the following languages:

  • Danish
  • Dutch
  • German
  • Spanish (3082)

Pre-Installation Steps

  1. Download installation files
  2. If you need to connect multiple Act-On accounts to a single Microsoft Dynamics instance, please review the following article before proceeding.

Installation

Install the Act-On Marketing Platform

To install Act-On in your MS Dynamics account, a System Administrator must follow these steps:

  1. Locate installation package files
  2. Log in to your MS Dynamics account and navigate to SettingsScreen
  3. Select Solutions from the Settings Dropdown under the Customization heading and click Import.
  4. In the pop-up window, select the Act-On Marketing Platform for MS Dynamics .zip file.
  5. Follow the prompts to import and install.

You will now have Act-On Marketing Platform for MS Dynamics successfully installed as a managed package.

You may receive a warning on Lead and Contact entities when importing the solution. Review our recommendation here.

Install the Ribbon Patch (365 Cloud only)

Once you have installed the Marketing Solution, you must also install the Ribbon Patch if you are using 365 Cloud. This adds the Send Email and Activity History buttons to the Lead and Contact views as well as Send Email buttons in the list views.

To install the Ribbon Patch:

  1. Navigate to Settings > Solutions and click Import.
  2. In the pop-up window, select the Act-On Marketing 365 Ribbon Patch .zip file.
  3. Follow the prompts to import and install.
The import process may take up to 20 minutes.

User Configuration

To continue to user setup or make updates, refresh your page to see Act-On in the Dynamics menu.

The first time you access the Act-On dashboard, you will see an error message. This is expected because the user setup is incomplete. Continue to the next step in this guide and register users for Act-On(Read more)

Register your Connected User

The Dynamics user that you use to connect Dynamics with Act-On must have the Act-On Sales User security role.

MS Dynamics 365:

  1. Navigate to Settings > Security > Users.
  2. Select the user(s) you wish to register, and in the top menu, click on … > Manage Roles > Manage User Roles.
  3. Add the security role Act-On Sales User.
  4. Click OK.

Add Users

Users must be registered both in Act-On and MS Dynamics to be able to use the package features.

User setup requirements:

  1. Registered User in Act-On as a Sales, Marketing, or Admin user.
  2. Registered User in Dynamics, with:
    • Registered in the Act-On Configuration page
    • The security role of Act-On Sales User

The email addresses of the users registered in each system do not need to match.

Step 1: Act-On User Registration 

Add your MS Dynamics Sales and Marketing Users to your Act-On account. They can be Admin, Marketing, or Sales users.

Step 2: Dynamics User Registration

  1. In Dynamics, navigate to Dynamics 365 - custom:

  2. Select Act-On from the menu and go to Configuration:

  3. For all users in Dynamics that you will be registering in Act-On, enter the following:
    • Act-On Login: Act-On username (Email address format)
      • User Emails in Act-On and Dynamics do not need to match
    • Act-On Domain: Your account's server URL 
        • Your Act-On server URL is the domain for your hosted account. To view this, log in to Act-on.com and review the address bar
        • For many clients, the server URL is similar to this format:
          forpci36.actonsoftware.com
      Do not add http://in front of the Act-On server URL.
  4. Click Save.

Step 3: Add the Act-On Sales User Security Role

  1. Navigate to Settings > Security > Users.
  2. Select the user(s) you wish to register, and in the top menu, click on … > Manage Roles > Manage User Roles.
  3. Add the security role Act-On Sales User.
  4. Click OK.

Remove Users

To remove a user, they must be de-registered and have their security role removed.

  1. In Dynamics, navigate to Act-On > Configuration.
  2. Find the user in Dynamics that you will be removing from Act-On and click Remove.
  3. Click Yes to confirm.
  4. Next, navigate to Settings > Administration > Users.
  5. Select the user(s) you wish to register, and in the top menu, click on … > Manage Roles > Manage User Roles.
  6. Remove the security role Act-On Sales User.
  7. Click OK.

Ask your Act-On administrator to delete the user from Act-On if necessary. Instructions here.
